Privacy Notice
Last updated: [PLACEHOLDER DATE]
1. Who we are
This notice explains how Aiterna (“we”, “us”) collects and uses your personal data when you use our website and services. Aiterna is the data controller. If you have any questions, contact us at [PLACEHOLDER privacy email].
2. What we collect
We only collect what we need. Specifically:
When you contact us: your name, business name, email, your stated goal (optional), and the message you send — via our contact form or by emailing us directly.
When you use the AI assessment: the messages you type during the assessment conversation and the structured answers derived from them (industry, team size, whether you sell online and on which platform, where your team loses time, current AI use, your goal, and data-sensitivity), and your email address, which is required to receive your assessment result. The assessment is voluntary and you can stop at any point before submitting your email; we recommend not including personal or confidential details in your messages.
When you book a call: the details you provide to our scheduling tool [PLACEHOLDER booking provider].
Automatically: basic analytics and device/usage data, and cookie data — see Cookies below.
3. How and why we use it
We use your data to:
reply to your enquiry and follow up with a relevant next step
generate and send your AI-readiness report
arrange and hold calls
understand how the site is used and improve it
send you occasional relevant updates, only if you've agreed.
Our legal bases are your consent (e.g. for the assessment email and any marketing), our legitimate interests (responding to enquiries, improving our site), and taking steps at your request before entering a contract.
4. Who we share it with
We don't sell your data. We share it only with service providers who help us run our business, under contracts that require them to protect it. For the assessment specifically: the text of your assessment conversation is processed by OpenAI to run the conversation; your answers and result are stored on Vercel (our hosting and storage provider); and your email address and result are processed by Loops, which sends your result email and holds our contact list.

5. International transfers
We operate across the United Kingdom, Türkiye, and the European Union, so your data may be transferred between these regions. Where it is, we use appropriate safeguards.
6. How long we keep it
We keep your data only as long as we need it for the purposes above, then delete or anonymise it.
7. Your rights
You have rights over your data, including to access it, correct it, delete it, object to or restrict its use, and withdraw consent at any time. To exercise any of these, email [PLACEHOLDER privacy email]. You can also complain to your local data protection authority — in the UK, the ICO.
8. Cookies
We use cookies and similar technologies to make the site work and to understand how it's used. You can control non-essential cookies through our cookie banner and your browser settings.
9. Changes & contact
We may update this notice; we'll change the date at the top and, for significant changes, tell you. Questions? Email [PLACEHOLDER privacy email].
